Velour Skin Studio ("we", "us") respects your privacy. We handle personal information in line with the Privacy Act 1988 (Cth) and the Australian Privacy Principles, and health information in line with the Health Records and Information Privacy Act 2002 (NSW).
What we collect
Through this website. When you send an enquiry, booking request or gift card request, we collect your name, phone number, the treatments you are interested in, your preferred day and time, and anything you choose to write in the notes. Your email address is optional. If you join our newsletter, we collect your email address and your consent. Our website forms never ask for health details.
In the studio. To treat you safely, we collect health information such as your medical history, medications, allergies, skin history, pregnancy status, consent forms, treatment notes and, with your written permission, clinical photos. Clinical photos are part of your record and are never used for marketing.
Payments. Card payments are processed by our payment terminal provider. We do not keep your full card number.
You can stay anonymous or use a different name for a general question, but we need your real details to book and treat you.
How we use it
- To answer your enquiry, confirm and manage your bookings and send reminders.
- To assess whether a treatment is suitable and to provide it safely.
- To keep accurate clinical records, as the law requires.
- To process payments and issue gift cards.
- To send our newsletter, only if you have asked for it. Every email has an unsubscribe link.
We do not sell, rent or trade your information, and we do not use your health information for marketing.
Who we share it with
Only with the people and services that help us run the studio, and only as much as they need: our booking and client record system, our website host (which receives website form submissions), our email newsletter service and our payment provider. Some of these services store data outside Australia, including in the United States and New Zealand. We choose providers that protect information to a standard comparable to Australian law.
We may also share information with your GP or another health practitioner if you ask us to, or where the law requires or allows it, for example in an emergency.
Cookies and analytics
This website does not use advertising cookies. If we add website analytics, we will update this policy to say what is collected and how to opt out.
How we store and protect it
Records are kept in secure, password-protected systems, with access limited to the staff who need it. Paper forms are scanned into your record and stored or destroyed securely. We keep health records for at least 7 years after your last visit, or until age 25 for clients who were under 18, as NSW law requires, then destroy them securely.
If a data breach is likely to cause you serious harm, we will tell you and the Office of the Australian Information Commissioner, as required by the Notifiable Data Breaches scheme.
Seeing or correcting your information
You can ask to see the information we hold about you, or ask us to correct it, at any time. We will respond within 30 days. There is no charge to ask; if copying a large record involves real cost, we will tell you first.
Questions and complaints
Contact us first and we will try to resolve your concern within 30 days. If you are not satisfied, you can complain to the Office of the Australian Information Commissioner (oaic.gov.au, 1300 363 992) or, for health information, the NSW Information and Privacy Commission (ipc.nsw.gov.au, 1800 472 679).
